The Board Relations Manager actively, professionally, and administratively enables the Boston Lyric Opera Boards of Directors, Advisors and Emeriti Members, along with the CEO, Philanthropy Team, and all committees in: (1) Board governance and leadership responsibilities, (2) fostering an effective relationship among the Board, the Philanthropy Team and all Committees, (3) the timely and accurate exchange of communications and information, (4) regular continuing education and development of the Board, Philanthropy Team and all Committees, and (5) stewardship of board members. They are the frontline contact, and primary liaison, for all Board members.
They support Boston Lyric Opera’s goals by astutely coordinating the board’s project management, communication, scheduling, and organization required for maximum effectiveness. They provide vital administrative guidance and support to the Board, its committees, the CEO, and the Philanthropy Team. This position works hand in hand with the Executive Administrator and the Philanthropy Team for board meetings and committee work, including recruitment, communications, engagement, and tracking of all board communications to ensure consistent and strategic contact. The person in this role will regularly attend events in-person and virtually, including Board and committee meetings, meals, rehearsals, performances, community programs, and development/fundraising events.
AREAS OF RESPONSIBILITY:
Board Administration & Meeting Management:
Work closely with General Director & CEO, board chair, senior leadership team, and Philanthropy Team regarding board communication and planning
Maintain discretion and confidentiality regarding all board and executive committee Members
Build and manage annual board meeting calendars, including all committee calendars
Responsible for every aspect of planning and administering board meetings and committee meetings; Manage communications, meeting materials, and logistics; Be the facilitator during the session, supporting technical requirements, taking notes/minutes/action steps, and coordinating and communicating follow-up tasks for all meetings
Proactively manage and track board committees and strategy groups by ensuring members are meeting regularly to address critical and timely needs Coordinate Board of Directors & Advisors events and gatherings, including at-home dinners and events at restaurants, managing communications, invitations, and administrative support for the event hosts
Work closely with leadership to plan strategic and engaging meeting agendas and manage all meeting documentation (i.e., board packets), meeting collateral, and presentations
Support all meeting logistics such as scheduling, site and catering, AV, and conferencing tools
Provide administrative and strategic support regarding board matters; Maintain appropriate administrative and board files
Propose and implement changes in processes and goals as needed
Serve as the single point of contact for all meetings, calls, and 1:1 meetings between staff and board members, coordinating with other internal stakeholders as needed
Work with Chairs and Executive Committee to review and maintain by-laws and other governance documents.
Maintain a thorough working knowledge of BLO’s governance and by-laws
Support leadership in the ongoing review of Board committee roles, responsibilities, and structure, ensure clarity and accountability, make recommendations to ensure effectiveness, and identify areas for additional support or change
Collaborate with Legal Advisors on Board and governance-related matters
Seek out and pursue best practices for board governance and management to achieve a high level of engagement and best-in-class volunteer experience
Develop and implement a framework for managing/sharing board data so that all current and past board materials, handouts, agendas, etc., are organized and easy to find
Assist the Executive Management Team, Philanthropy Team and the Board Nominating Committee Chair in Board of Director and Advisor candidate research, recruitment, orientation, and retention
Own board handbook and onboarding guide, keeping it current and identify new material to be included
Document Board activities at all meetings, including minutes, reports, and presentations;
Update and maintain Board member data in Tessitura in collaboration with the Philanthropy Team, including “Steps” and “Plans” as appropriate
Create and run board onboarding, orientation, and offboarding processes
Partner with philanthropy, communications, and artistic/production staff to write informative and accurate proposals and reports to Board members that support the efforts of the fundraising team
Assemble information about people/relationships and context for upcoming meetings, input reports into the fundraising database, and maintain all Board members and Board prospects files for the GD & CEO
Enter interaction data on behalf of GD & CEO into Tessitura/CRM software, working closely with the Philanthropy Team to ensure accuracy
Work closely with colleagues to write a variety of external communications, such as reports and proposals
Manage board member ticketing requests for rehearsals, performances, and events; coordinate with the Philanthropy Team and the box office
Manage contact lists and ensure that all lists are kept up to date
Track board engagement
Develop relationships with Board members to become the resident expert on their interests and connections
Manage all communications, meeting logistics, and event invitations
Draft and coordinate regular, personalized communications with the Board of Directors, Advisors, and Directors Emeriti, including stewardship opportunities like monthly birthday recognition, performance recommendations, Company updates, etc.
Minimum of five years of relevant experience in a non-profit board environment is strongly preferred.
Experience working with board members and board governance;
Experience writing and editing one or more of the following: newsletters, magazines, blogs, annual reports, donor profiles, acknowledgment letters, campaign brochures, funding proposals, fact sheets, or equivalent
Experience working in a nonprofit preferred; enthusiasm about opera is a plus.
Meticulous attention to detail in all matters.
Ability to exhibit a high degree of judgment, tact, and professionalism when interacting with board members and executive/senior management.
Ability to display a high level of flexibility and resourcefulness; highly adaptable to changing needs and demands.
Excellent computer skills, including proficiency with Microsoft Office suite of applications.
Ability to work with minimal supervision; work independently and collaboratively as part of a team.
Tessitura knowledge a plus; an affinity for databases a must.
Ability to juggle changing priorities
Ability and willingness to work longer hours as circumstances require.
